Frequently Asked Questions

Navigating mental health services should be straightforward and stress-free. At the Student and Trainee Mental Health Program (STMH), we are dedicated to removing barriers and providing comprehensive support for our community of learners at the Icahn School of Medicine at Mount Sinai. The following frequently asked questions can help address your potential concerns about billing, insurance coverage, and the stringent privacy measures we have in place to protect your personal health information.

The Student and Trainee Mental Health Program bills your insurance directly and an explanation of benefits might be generated from your insurance carrier, but this is not a bill. If you happen to receive an actual bill in error, please bring it to the attention of our administrative staff by emailing us or calling 212-659-8805, Monday through Friday, 9 am-5 pm.

We ask that you first contact us regarding all related billing inquiries about our services, so that our administrative staff can assist you with resolving such matters.

If your insurance plan does not cover the services you received, you are still not financially responsible for these charges. Our services are provided with no out-of-pocket cost to you. Rest assured the balance will be adjusted.

Our providers participate in several different insurance plans. If you would like more information, please contact us. As a reminder, STMH provides services to our students and trainees, no matter what their insurance plan is.

As required by New York State law and Health Insurance Portability and Accountability Act (HIPAA) regulations, the Icahn School of Medicine at Mount Sinai treats patients with the highest level of confidentiality. We strictly protect the confidentiality of the clinician/patient relationship and do not release any personal medical or psychiatric information without clear, written consent from the student or trainee. The only exception is if we believe the patient is a danger to themselves or someone else.

We use the Epic electronic medical record (EMR) platform, which has protections in place for students and trainees. Any access to your EMR is recorded, and the system conducts automatic random audits of charts every three to four weeks. Students can request a full audit of their chart at any time by contacting the Epic maintenance office.

For maximum protection, STMH has implemented the following security protocols:

  • Student and Trainee Mental Health Program clinical notes are stored behind an additional firewall, preventing access by those outside the department.
  • An alert system sends automatic red flag emails if one student attempts to access another student's EMR.
  • Any such access triggers a manual audit of the chart.
  • Inappropriate access can result in severe penalties, including potential expulsion from the Icahn School.

Students and trainees should be aware of additional information regarding EMR access:

  • It is a HIPAA violation to review the EMR of family members.
  • Students cannot review their own children's EMR if the child is over 10 years old.
  • Children and family members of students can request extended chart protection.
  • Students can contact the Epic maintenance office with privacy concerns at extensions 4-4669 and 4-5146.

For a successful telehealth appointment, we ask that you are situated in a quiet space where you can be alone. You also must be located in New York State. Before your session, please verify that your WiFi connection is strong, then access your session through the MyMountSinai app. You may want to log in early to test your audio and video settings and confirm everything is working properly. We also ask that you are positioned to be clearly visible on camera and maintain video connection throughout the session. If you experience any technical difficulties when your session begins, promptly email both your clinician and our admin team for assistance.

To maintain privacy, we ask that you do not join your session from any public space and avoid having other people in the room during your appointment. Additionally, we ask that you do not participate in your telehealth session while in bed, traveling in a cab, walking, or driving. All of the above helps to ensure that you receive maximum benefit from our telehealth services.
